Terms and Conditions of Service – Flex Cabs Ltd

These Terms and Conditions apply to the supply of private hire transportation services by Flex Cabs Ltd (“Flex Cabs”, “we”, “our”, “us”).

By placing a booking with Flex Cabs Ltd, the customer and/or passenger confirms that they have read, understood, and agreed to be bound by these Terms and Conditions.

1. Bookings & Contract Formation

1.1 A booking constitutes an offer by the customer to purchase transportation services from Flex Cabs Ltd in accordance with these Terms and Conditions.

1.2 Bookings must be made via one of our approved communication channels, including telephone, email, website, or messaging platforms.

1.3 A booking shall be deemed accepted by Flex Cabs Ltd when we issue confirmation by email, text message, or when the journey commences (whichever occurs first). At this point, a legally binding contract comes into existence.

1.4 By using our services, the passenger is deemed to have accepted these Terms and Conditions.

2. Customer and Passenger Responsibility

2.1 The booking forms a contract between Flex Cabs Ltd (as principal), the Customer, and the Passenger.

2.2 Where the Customer is not the Passenger, the Customer remains fully responsible and liable for the acts and omissions of the Passenger as if they were their own.

2.3 Flex Cabs Ltd’s obligations to the Passenger shall be governed by these Terms as though the Passenger were the Customer.

3. Advance Bookings & Availability

3.1 Customers are strongly advised to make bookings at least 24 hours in advance.

3.2 ASAP or same-day bookings are subject to availability and may incur a surcharge in addition to the standard fare.

4. Waiting Time Charges

4.1 For all non-airport bookings, 15 minutes of waiting time is included.

4.2 After the included waiting time, a charge of £10 per additional 15 minutes will apply.

5. Airport Bookings

5.1 Airport bookings include Meet & Greet service and up to 60 minutes of free waiting time.

5.2 After the free waiting period, an additional charge of £15 per 15 minutes will apply.

6. Delays Beyond Our Control

6.1 Flex Cabs Ltd shall not be held responsible for delays caused by circumstances beyond our reasonable control, including but not limited to:

Traffic congestion

Roadworks

Accidents or incidents

Adverse weather conditions

7. Luggage Policy

7.1 A reasonable amount of luggage is permitted per passenger.

7.2 For safety reasons, luggage is not permitted in the passenger compartment.

7.3 Customers must inform us at the time of booking if they are carrying oversized, excessive, or unusual luggage. Failure to do so may result in refusal of service or additional charges.

8. Routes

8.1 Unless otherwise instructed at the time of booking, the driver will take the route considered most appropriate on the day, taking traffic and road conditions into account.

9. Special Requirements

9.1 Customers must inform Flex Cabs Ltd at the time of booking of any special requirements, including but not limited to:

Pets

Wheelchairs

Bicycles

Sporting equipment

Irregular or oversized luggage

10. Non-Smoking Policy

10.1 Flex Cabs Ltd operates a strict non-smoking policy in all vehicles, including e-cigarettes and vaping devices.

11. Passenger Conduct

11.1 We reserve the right to refuse carriage to any person who is believed to be under the influence of alcohol, drugs, or any other substance that may cause unsafe or unreasonable behaviour.

12. Damage to Vehicles

12.1 Customers and passengers shall be held financially responsible for any damage caused to vehicles, fittings, or equipment due to negligence, misconduct, or misuse.

13. Valet / Cleaning Charges

13.1 An additional £150 valet or deep-cleaning charge will apply if a vehicle requires specialist cleaning due to sickness, excessive soiling, or other circumstances.

13.2 Passengers are advised not to travel if they are unwell.

14. Cancellations & Refunds

14.1 Same-day cancellations are non-refundable.

14.2 For pre-booked journeys, customers must notify us of cancellations in advance via email, telephone, or WhatsApp.

14.3 Refund eligibility (if any) will depend on the notice provided and the nature of the booking.

15. Subcontracting

15.1 Flex Cabs Ltd reserves the right to engage agents or subcontractors to fulfil bookings.

15.2 Flex Cabs Ltd contracts on its own behalf and on behalf of its agents and subcontractors.

15.3 Details of any subcontractor may be provided upon request.

16. Governing Law

16.1 These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales.
